Organizer Paid Services and Subscription Policy

This Organizer Paid Services and Subscription Policy explains how Grip Culture charges organizers for access to paid platform features, organizer tools, subscriptions, packages, promotions, tournament management tools, and related services.

This policy applies only to payments made directly to Grip Culture.

This policy does not apply to athlete registration fees, tournament entry fees, spectator fees, refund obligations, chargebacks, or payments collected externally by tournament organizers from athletes, parents, guardians, academies, coaches, spectators, or third parties.

1. Grip Culture Paid Services

Grip Culture may offer paid services to organizers, including but not limited to:

  • Organizer account access.
  • Tournament creation tools.
  • Tournament publishing tools.
  • Bracket management tools.
  • Registration management tools.
  • Tournament visibility packages.
  • Premium organizer features.
  • Subscription plans.
  • One-time tournament packages.
  • Promotional packages.
  • Discounted plans.
  • Limited-time offers.
  • Add-ons.
  • Upgrades.
  • Early access features.
  • Other paid software tools or platform services.

Grip Culture may change, modify, add, remove, suspend, or discontinue any paid service, package, promotion, or feature at any time, subject to applicable law and any active paid period already purchased.

2. Payments Made to Grip Culture

Payments made by organizers to Grip Culture are payments for access to Grip Culture software, organizer tools, platform features, subscriptions, packages, or related digital services.

Payments made to Grip Culture do not make Grip Culture:

  • The organizer of the tournament.
  • The operator of the tournament.
  • The promoter of the tournament.
  • The payment processor for athlete registration fees.
  • The merchant of record for athlete registration payments made externally.
  • The refund provider for athlete payments made externally.
  • The insurer of the event.
  • The guarantor of the event.
  • The financial backer of the event.
  • The supervisor of the tournament.
  • The owner of the tournament.

The organizer remains solely responsible for the tournament, its operation, its participants, its venue, its payments collected outside Grip Culture, and any external payment links or payment methods used for athlete registration.

3. Stripe Payment Processing

Grip Culture may use Stripe or another third-party payment processor to process payments for Grip Culture paid services.

By purchasing a paid service, the organizer agrees that payment information may be processed by Stripe or another payment provider according to that provider’s terms, privacy policy, and processing rules.

Grip Culture does not store full credit card numbers or full payment card details on its own servers.

Stripe or the applicable payment processor may handle:

  • Card processing.
  • Subscription billing.
  • Invoices.
  • Receipts.
  • Taxes where applicable.
  • Refund processing.
  • Disputes.
  • Chargebacks.
  • Payment method verification.
  • Failed payment handling.
  • Fraud screening.

4. Pricing, Packages, and Promotions

Grip Culture may offer different organizer plans, packages, subscriptions, discounts, free trials, credits, coupons, promotional pricing, or limited-time offers.

Prices, features, plan limits, usage limits, promotional terms, and availability may vary.

Promotions may be subject to additional terms, including:

  • Expiration dates.
  • Eligibility requirements.
  • Limited availability.
  • One-time use limits.
  • Geographic restrictions.
  • Account restrictions.
  • Tournament restrictions.
  • Renewal pricing changes.
  • Feature limitations.

Unless expressly stated otherwise, promotional pricing applies only for the promotional period or purchase period shown at checkout.

After a promotional period ends, the organizer may be charged the then-current standard price for the selected plan or service if the plan renews automatically and the organizer has not canceled before renewal.

5. Subscriptions and Automatic Renewal

Some Grip Culture paid services may be sold as recurring subscriptions.

If a paid service is a subscription, Grip Culture will disclose the billing period, price, renewal terms, cancellation method, and any material subscription terms before the organizer completes the purchase.

By purchasing a subscription, the organizer authorizes Grip Culture and its payment processor to charge the selected payment method on a recurring basis until the subscription is canceled, expires, fails, or is terminated.

Subscription billing may be monthly, annually, per tournament, per package, or based on another billing cycle disclosed at checkout.

Unless otherwise stated at checkout or required by applicable law:

  • Subscriptions renew automatically.
  • Subscription fees are charged at the beginning of each billing period.
  • The organizer is responsible for canceling before the next renewal date to avoid future charges.
  • Cancellation stops future renewals but does not automatically refund past charges.
  • Access may continue until the end of the paid billing period unless otherwise stated.

6. Renewal Notices and Email Notifications

Grip Culture may send email notifications related to paid services, including:

  • Purchase confirmation.
  • Receipts.
  • Subscription confirmation.
  • Renewal reminders when required by law or platform policy.
  • Plan changes.
  • Failed payment notices.
  • Cancellation confirmation.
  • Refund confirmation.
  • Promotional offer details.
  • Policy updates.
  • Billing-related support communications.

Where applicable law requires a renewal reminder, cancellation notice, refund notice, or other billing notice, Grip Culture will provide the required notice using the email associated with the organizer account or another contact method provided by the organizer.

The organizer is responsible for keeping their email address and billing contact information accurate and updated.

7. Cancellation

Organizers may cancel recurring subscriptions according to the cancellation method provided by Grip Culture.

If the subscription was purchased online, Grip Culture will provide an online cancellation method where required by applicable law or platform policy.

Cancellation generally prevents future renewal charges but does not automatically refund charges already paid.

If an organizer cancels a subscription, the organizer may retain access to paid features until the end of the current paid billing period, unless:

  • The plan terms state otherwise.
  • The subscription is canceled for policy violation.
  • The account is suspended or terminated.
  • The organizer requests immediate termination.
  • Applicable law requires a different result.

8. Refund Policy

Refund eligibility depends on the type of paid service, the plan purchased, the promotion used, the timing of the request, applicable law, and the specific terms disclosed at checkout.

Unless otherwise stated at checkout or required by applicable law:

  • Fees paid to Grip Culture for organizer tools, platform access, digital services, subscriptions, packages, or tournament management features are non-refundable once access has been provided or the service period has started.
  • Partial refunds may be granted at Grip Culture’s discretion.
  • Promotional purchases, discounted packages, one-time tournament packages, setup fees, administrative fees, and add-ons may be non-refundable.
  • Cancellation of a subscription stops future charges but does not automatically create a refund for the current or past billing period.
  • Failure to use the paid service does not automatically entitle the organizer to a refund.
  • Removal or suspension caused by organizer misconduct, fraud, policy violations, chargebacks, deceptive activity, or legal risk does not entitle the organizer to a refund.

Grip Culture will issue refunds when required by applicable law.

If a refund is approved or legally required, Grip Culture will process the refund within the timeframe required by applicable law. If no specific legal timeframe applies, Grip Culture will make commercially reasonable efforts to process approved refunds within a reasonable period after approval.

Refunds are normally returned to the original payment method when possible. Actual timing may depend on Stripe, the card network, the issuing bank, the payment method, and other third-party processing rules.

Grip Culture may notify the organizer by email when a refund is approved, denied, processed, or otherwise updated.

9. Refund Requests

To request a refund, the organizer must contact Grip Culture using the support or billing contact method provided by Grip Culture.

A refund request should include:

  • Organizer name.
  • Account email.
  • Tournament name, if applicable.
  • Payment date.
  • Amount paid.
  • Stripe receipt, invoice number, or transaction ID if available.
  • Reason for the refund request.
  • Any supporting information.

Grip Culture may require additional information before approving, denying, or processing a refund.

10. No Refunds for External Athlete Payments

This policy applies only to money paid directly to Grip Culture.

Grip Culture does not refund athlete registration fees, tournament entry fees, spectator fees, or other money paid to an organizer through an external payment link, payment platform, QR code, direct transfer, invoice, cash payment, third-party checkout, or organizer website.

If an athlete, parent, guardian, coach, academy, or participant paid an organizer externally, the refund request must be directed to the organizer or the external payment provider.

Grip Culture is not responsible for external organizer refunds, chargebacks, failed services, canceled tournaments, postponed tournaments, fraud claims, or disputes involving money collected outside Grip Culture.

11. Failed Payments

If a payment fails, Grip Culture or its payment processor may attempt to charge the payment method again.

If payment remains unpaid, Grip Culture may:

  • Suspend paid features.
  • Downgrade the organizer account.
  • Remove premium visibility.
  • Hide or unpublish tournament listings.
  • Restrict tournament management features.
  • Cancel the subscription.
  • Require payment before restoring access.
  • Terminate access to paid services.

The organizer remains responsible for any unpaid amounts, taxes, fees, or charges owed to Grip Culture.

12. Chargebacks and Payment Disputes

If an organizer files a chargeback or payment dispute for a payment made to Grip Culture, Grip Culture may provide evidence to Stripe, the card network, bank, or payment provider.

Evidence may include:

  • Account information.
  • Purchase records.
  • Subscription records.
  • Checkout details.
  • Terms accepted at checkout.
  • Refund policy accepted at checkout.
  • IP address.
  • User agent.
  • Login activity.
  • Usage records.
  • Tournament creation records.
  • Feature access records.
  • Email notifications.
  • Receipt records.
  • Support communications.
  • Policy acceptance records.

Grip Culture may suspend or restrict organizer access during a dispute.

If a chargeback or dispute is resolved in Grip Culture’s favor, the organizer remains responsible for any unpaid amounts, chargeback fees, dispute fees, or related costs where permitted by applicable law.

Repeated chargebacks, abusive disputes, fraudulent payment behavior, or misuse of the dispute process may result in account suspension or termination.

13. Taxes

Prices may not include applicable taxes unless expressly stated.

The organizer is responsible for any taxes, duties, levies, or government charges that apply to purchases of Grip Culture paid services, except for taxes based on Grip Culture’s income.

Grip Culture or its payment processor may calculate, collect, and remit taxes where required or supported.

14. Plan Changes, Upgrades, and Downgrades

Grip Culture may allow organizers to upgrade, downgrade, or change plans.

Plan changes may affect:

  • Pricing.
  • Billing date.
  • Feature access.
  • Tournament limits.
  • Visibility.
  • Usage limits.
  • Subscription renewal amount.
  • Promotional eligibility.
  • Access to previous features.

Upgrades may be charged immediately or prorated depending on the plan terms shown at checkout.

Downgrades may take effect immediately or at the end of the current billing period depending on the plan terms.

Unless required by applicable law or stated at checkout, downgrades do not automatically create refunds for unused time.

15. Free Trials and Promotional Access

Grip Culture may offer free trials, beta access, temporary access, credits, coupons, or promotional organizer access.

Promotional access may be limited or revoked at any time if:

  • The promotion expires.
  • The organizer violates platform policies.
  • The organizer misuses the promotion.
  • The organizer creates risk for users or the platform.
  • The organizer provides false information.
  • The promotion was used in an unauthorized way.

If a free trial converts to a paid subscription, Grip Culture will disclose the conversion terms before charging the organizer where required by applicable law.

16. Beta Features and Feature Changes

Some paid services may include beta, experimental, early access, or changing features.

Grip Culture may modify, remove, limit, or discontinue features at any time.

Payment for a paid service does not guarantee that every feature will remain available permanently.

Grip Culture may replace, improve, remove, or modify features for technical, legal, business, safety, security, or platform integrity reasons.

17. Suspension or Termination for Policy Violations

Grip Culture may suspend or terminate paid organizer access if the organizer:

  • Violates the Terms of Service.
  • Violates the Organizer External Payments and Tournament Responsibility Policy.
  • Violates this policy.
  • Publishes false or misleading tournament information.
  • Uses fraudulent payment information.
  • Creates or promotes fake tournaments.
  • Collects money externally in a misleading or fraudulent way.
  • Receives repeated complaints.
  • Creates legal, financial, safety, reputational, or platform integrity risk.
  • Misuses Grip Culture tools.
  • Fails to pay amounts owed.
  • Files abusive or fraudulent chargebacks.

Suspension or termination for policy violations does not entitle the organizer to a refund unless required by applicable law.

18. No Guarantee of Revenue or Tournament Success

Grip Culture does not guarantee that paid organizer services will result in:

  • Athlete registrations.
  • Ticket sales.
  • Tournament revenue.
  • Sponsorships.
  • Academy participation.
  • Successful event operation.
  • Refund-free transactions.
  • Chargeback-free payments.
  • Ranking benefits.
  • Public visibility.
  • Tournament approval by third parties.
  • Venue approval.
  • Legal compliance.

The organizer is solely responsible for business decisions, event planning, pricing, promotion, external payment collection, refunds, and tournament operations.

19. Relationship to Other Policies

This policy works together with:

  • Grip Culture Terms of Service.
  • Grip Culture Privacy Policy.
  • Organizer External Payments and Tournament Responsibility Policy.
  • External Payment Warning for Participants.
  • Any plan-specific checkout terms.
  • Any Stripe or payment processor terms.
  • Any additional written agreement between Grip Culture and the organizer.

If there is a conflict between this policy and a written agreement signed by Grip Culture, the signed written agreement controls for that specific organizer.

20. Policy Updates

Grip Culture may update this policy from time to time.

If changes are material, Grip Culture may notify organizers by email, account notification, checkout notice, or another reasonable method.

Continued use of paid services after the updated policy becomes effective means the organizer accepts the updated policy.

21. Acceptance

By purchasing, subscribing to, renewing, upgrading, using, or continuing to access Grip Culture paid organizer services, I confirm that:

  • I am at least 18 years old.
  • I am authorized to purchase organizer services.
  • I understand that payments to Grip Culture are for software, platform access, organizer tools, subscriptions, packages, or related services.
  • I understand that payments to Grip Culture are separate from athlete registration payments collected externally by organizers.
  • I understand that Grip Culture does not collect athlete registration payments for organizer-created tournaments unless expressly stated otherwise in writing.
  • I understand the cancellation and refund terms disclosed by Grip Culture.
  • I understand refunds will be handled according to this policy and applicable law.
  • I understand Grip Culture may send billing, renewal, cancellation, refund, and policy notices by email.
  • I accept the Organizer Paid Services and Subscription Policy.
